Terms of Service

SOLEYPROOF PTY LTD (ABN 23 701 953 175) · admin@soleyproof.com.au · Interim v0.3, effective 25 October 2026

Interim terms for the private beta; they will be replaced by solicitor-settled terms, and you will be asked in the app to read and accept the new version.

A certificate you issue on SoleyProof is your own record of your own work. SoleyProof records, checks, verifies, stores and shares; it does not certify anything. Your issued records stay yours. Checks are undertaken by AI: you review them and you sign. You can cancel a plan or leave any time.

1. What SoleyProof is — and is not

SoleyProof is a platform on which licensed tradespeople record, check, store and share documentation of their own completed work. Every certificate issued on SoleyProof is the trade’s own self-certification record, issued by the licensed trade and signed by them. SoleyProof itself certifies nothing, approves nothing and passes nothing. SoleyProof does not independently verify work, assess the compliance of work or certify work. Every certificate is a self-certification record made and signed by a licensed trade. SoleyProof provides the platform: it stores the photographs and declarations provided by the trade, runs an AI review of those photographs and declarations against SoleyProof’s plain-English summaries of the NCC provisions for the work type, reads the trade's licence from the official register of the State that issued it, checks the trade's ABN and records a digital fingerprint (SHA-256 hash) of the signed record so anyone can check that a copy has not been altered. SoleyProof does not inspect sites or verify the work itself. A SoleyProof record is not a statutory certificate and never replaces one where the law requires it.

A SoleyProof record is a self-certification record, not a statutory certificate, permit, approval or compliance document of any kind under any Australian law. It is not a Certificate of Compliance for Electrical Work, not a plumbing Certificate of Compliance, not a pool-barrier certificate, and not a “Compliance Certificate” under planning law. Where the law requires one of those documents, it must still be produced through the lawful channel, and a SoleyProof record sits alongside it, never in its place.

2. Accounts

You must give accurate details, and a trade account’s licence details must be your own. One person per login, always: your signing identity (including two-factor authentication) is the legal spine of every record you make, and sharing credentials is a breach of these terms. As between you and SoleyProof, you are responsible for what is done under your login to the extent that you did it, allowed it, or could reasonably have prevented it. You are not responsible for it to the extent that an error by SoleyProof, or a failure of our security, caused or contributed to it.

3. How checks and certificates work

Checks are undertaken by AI: the AI examines your photographs and your own declared answers and proposes an outcome per provision; you review and confirm before anything is certified. The AI check is a decision-support tool. It may not detect non-compliance. It compares your photographs and declarations with SoleyProof’s summaries of the provisions, which can differ from the published National Construction Code or Standard text, and it does not replace your own professional judgment. Your declarations are your own testimony. Where you choose an answer to a question, the record prints SoleyProof’s standard sentence for that answer, which you can read before you sign; anything you type is printed in your own words. Where evidence does not support a conclusion, the check says so rather than guessing, and you cannot certify over an unresolved provision.

Issued certificates are kept for at least 10 years from issue, and longer while a record may still be relied on. They cannot be edited: a mistake is corrected by reissue or by withdrawal, and either action keeps the earlier version visible, marked as superseded or withdrawn. What you certify must be true, performed by you or under your supervision as your licence permits, and within what your licence allows.

4. Verification and unverified trades

SoleyProof reads the trade’s licence from the register of the State that issued it, using one of two methods: (a) an automated read through the register’s own interface, where a supported interface exists and capacity allows; or (b) a read of the relevant public register by a named person at SoleyProof. A licence that has only been declared by the trade cannot be used to sign a record. A record may be signed only where the latest read shows the licence in force, is no more than 120 days old (or 14 days old where the register shows a renewal being processed), and the licence’s recorded expiry date has not passed (except in the case of a renewal being processed). Each record states the method used, the register read and the date of the read relied on. A read is limited to the information on the register at that time and does not certify the work or that the trade is licensed to perform the relevant work. SoleyProof does not warrant that a licence remains current after the date of the read.

A record also cannot be signed for evidence that SoleyProof's records show was captured, or added to SoleyProof, during a period in which SoleyProof's register reads do not show the licence in force, even after the licence is renewed. Those records are when the check was started, when each photo was added to SoleyProof (for the check, or captured on the job and used from there), the earliest time the same photo reached SoleyProof from the same account or on the same job, and the camera's own time where the camera also recorded its time offset. Where a read shows the licence not in force, that period starts at the later of the licence's recorded expiry date, if it has passed, and the read before it, if that read showed the licence in force (or, if neither applies, at the read that shows it not in force), and ends when a later read shows the licence in force again.

5. Your content and ours

Your records, photographs, plans and documents are yours. You grant us the licence needed to host, process, display and share them according to your settings and these terms (for example: running checks, rendering your public verify page, delivering your certificates). The platform, its software and its curated content are ours. National Construction Code content is used under the Australian Building Codes Board’s licence with attribution; no endorsement by the ABCB is implied.

You can export your certificates, each as a structured record with the evidence photos attached to it, in one file at any time, free. Reissue and withdrawal of your own certificates are never behind a paywall, and a certificate can never be held hostage for payment.

Withdrawal and reissue each need your password, a two-factor code and a reason. Withdrawal is available whatever your subscription or the state of your licence. A reissue is a new document signed by you today, so it also needs your licence to show as in force on a register read recent enough to sign on, and signing to be open in the relevant state. A reissue cannot change a result. Whenever one is refused, your original stays exactly as it was.

6. Acceptable use

No false records or declarations. No documenting someone else’s work as your own. No attempts to game, probe or overload the checking engine or the platform. No scraping. No use of another person’s identity or licence.

7. The beta

The platform is in active development: features change, and some integrations are not yet connected. Where something cannot be done or verified, the platform says so honestly rather than pretending. During the beta, invited accounts use the platform on access we arrange account by account; paid plans will be introduced with clear notice before anything is charged.

8. Reliance

A certificate on SoleyProof is a record of the issuing trade’s own declarations together with a check undertaken by AI of their evidence against SoleyProof’s plain-English summaries of the building-code provisions, and the verify page describes what was and was not assessed. The record is the trade’s statement. SoleyProof provides the platform, AI decision-support tools and record-keeping. SoleyProof does not certify, warrant or guarantee the work, and does not provide building advice or compliance assessments.

9. Liability

Nothing in these terms excludes rights that cannot be excluded under the Australian Consumer Law, including consumer guarantees, whether or not you pay us for the service. Where a consumer guarantee applies to a service we supply, these terms do not limit our liability for failing to meet it.

Nothing in these terms limits our liability for death or personal injury where the law does not allow that liability to be limited.

Apart from that, and only as far as the law allows, our liability to you for a claim about the service we provide is limited to supplying the service again or paying the cost of having it supplied again. Nothing in these terms limits your liability for your own certificates and declarations — they are yours.

10. Ending an account

You may deactivate at any time; issued records persist per the Privacy Policy and section 3.

You can ask us to delete your SoleyProof account. This is different from leaving: leaving (deactivating) hides your account and you can come back any time by signing in. Deleting cannot be undone once it is carried out. You can ask from Delete my account on your profile, titled Your details (select your name at the top of any page), or from the public page at /delete-account. You confirm it is you: your password, and your authenticator code if you have one set up. If you do not, we email a link to your login address instead. Then there is a 14-day wait. Your account keeps working as normal while you wait. You can cancel until the SoleyProof team carries out the request: sign in, open your profile, titled Your details (select your name at the top of any page), then Delete my account, and press Cancel my request. After the wait, a member of the SoleyProof team carries out the request by hand. We email you when it is done. The deletion page lists what is deleted and what stays, and why.

We may suspend or close an account where these terms are seriously or repeatedly breached, in particular sections 2, 3 and 6 (for example a login shared between people, licence details that are not your own, or false records). Issued records stay preserved and exportable, and you can ask us to review any decision by writing to admin@soleyproof.com.au.

11. Changes and law

When we change these terms, we ask you in the app to read and accept the new version when you next sign in, and remind you there until you do. A change applies to you from the day you accept it. Nothing in the app stops while you decide, and you can deactivate your account and export your records, free, at any time (sections 5 and 10). These terms are governed by the law of New South Wales.
