A SoleyProof record is a trade’s self-certification of their own work — the same principle as the compliance certificates licensed trades already issue, with the evidence attached instead of implied.

Before a trade can sign one, their licence has to have been verified, their ABN checked, and a second factor entered at the pen. How the licence was verified depends on the state, and the certificate says which: signing relies on the latest register read, which must show the licence in force. A licence may be relied on at signing if it was read within the previous 120 days (or 14 days where a renewal is being processed). So the licence will not necessarily have been read on the day of signing, and it may have been suspended or cancelled since it was last read. Where SoleyProof can read a state's register automatically (NSW, through the government's own interface), that read is the one signing relies on. Where it can't, a person at SoleyProof checks the state's public register by hand before that trade can sign anything. The certificate states how and when the read it rests on was made. A licence nobody has checked can never sign. The record itself holds the photos the trade supplied of the work (captured in the app, or uploaded with the trade’s declaration that they show the work described), the trade’s answers about what they did, and the result of an AI check that compares that evidence with SoleyProof’s plain-English summaries of the National Construction Code (NCC) provisions for that kind of work, clause by clause.

SoleyProof does not independently verify work, assess the compliance of work or certify work. Every certificate is a self-certification record made and signed by a licensed trade. SoleyProof provides the platform: it stores the photographs and declarations provided by the trade, runs an AI review of those photographs and declarations against SoleyProof’s plain-English summaries of the NCC provisions for the work type, reads the trade's licence from the official register of the State that issued it, checks the trade's ABN and records a digital fingerprint (SHA-256 hash) of the signed record so anyone can check that a copy has not been altered. SoleyProof does not inspect sites or verify the work itself. A SoleyProof record is not a statutory certificate and never replaces one where the law requires it. Examples include an electrical CCEW and a plumbing certificate of compliance, or the equivalent where the work is done.

Every record has a public verification page that anyone holding its reference code can check, including whether it has been superseded by a corrected version or withdrawn. Checking costs nothing and needs no account. Issued records are kept for at least 10 years from issue. SoleyProof cannot promise what would happen to the public verification pages if the company ever stopped operating. The fingerprint printed on each document is a code calculated from the stored record, and the verification page shows the fingerprint stored for the same reference code, so a paper copy can be compared with it. A match shows that the copy carries the fingerprint stored when the record was signed; the comparison does not re-test the rest of the copy. A trade can export their own archive of records, with each fingerprint, from their account.
